Introduction

The Event Manager will be responsible for planning and coordinating the Historical Society's Facility Rental and Use Program and administering the Program under the supervision of and in collaboration with the Director of Program and Policy. The Event Manager postion requires a responsible, professional, efficient, sales-focused, and detail-oriented individual. This position is located at the Head Quarters building of the Wisconsin Historical Society on the University of Wisconsin Madison campus at 816 State Street.

Job Duties

  • Represent the Historical Society in a professional and courteous manner at all times
  • Create a marketing and promotional plan, including social media presence, in coordination with WHS marketing Office
  • Implement marketing and promotional plan; advertise, promote, and sell space
  • Determine staffing plan for events and manage recruitment process for Event Staff, if necessary
  • Create manual for Event Staff, including emergency proceedures and contacts, use of auditorium A/V equipment, and other information that may be needed during events
  • Monitor events@wisconsinhistory.org mail box
  • Respond to inquiries via phone or email
  • Create and maintain email list of interested parties, including past clients
  • Show space to interested parties
  • Schedule auditorium and lobby, coordinate schedule with internal programs/parties
  • Obtain approval for events from WHS Director
  • Work with clients on details of events (set-up, agenda, contract, payment)
  • Coordinate external parties (caterer, beverage provider, linen provider, other)
  • Create process for managing catered events, such as providing contact information
  • Create and administer contracts with caterers and /or beverage providers
  • Coordinate internal parties (maintenance, janitorial, security)
  • Staff events or schedule Event Staff for assistance
  • Evaluate policy, proceedures, application, and contract and revise as necessary 

Qualifications

  • Strong communication and interpersonal skills required
  • Able to use basic computer software including Microsoft Word and Excel
  • Good project management and organizational skills required
  • Ability to lift 40 lbs.
  • Wisconsin driver’s license required
  • Previous experience in sales or marketing helpful
